Why bursars like it
The hardest part of a bursar’s job is not receiving money, it is knowing who has paid what. Bank slips arrive late, mobile money messages pile up on one phone, and parents ask for balances the office cannot answer quickly.
With IWAT the payment and the record are the same thing. A mobile money payment is matched to the learner the moment it arrives, the receipt goes to the parent by SMS, and the balance changes on the learner’s fees page. Cash and bank payments are recorded at the fees desk in seconds, with the same receipts. At any time you can list every learner with a balance, by class, and send reminders in one step.
Proper books without a separate accounting package
- Fee receipts flow into the cash book automatically
- Other income such as hall hire, and every expense with a receipt photo
- Supplier bills with due dates, part payments and repeating bills
- Debtors by class and age, other debtors and staff advances
- Budgets per category against actual spending through the year
- Income and expenditure, receipts and payments, and cash flow reports
Payroll for Ugandan schools
Payroll follows Ugandan rules: PAYE on taxable pay, NSSF on pensionable pay, and Local Service Tax spread over the months you choose. The head teacher approves the payroll before payment, staff receive payslips, and the bank, mobile money, PAYE, NSSF and LST schedules download as files. Read more in our guide on collecting school fees with mobile money.
Frequently asked questions
Does the school receive mobile money directly?
Yes. Payments go to the school’s own MTN MoMo or Airtel Money merchant account; IWAT records and matches them but never holds school money.
Can parents get a receipt automatically?
Yes. Every payment, by mobile money, cash or bank, sends an SMS receipt to the parent from the school’s SMS account.
Does it replace our accounting software?
For most schools, yes: it has a cash book, bills, debtors, budgets, payroll and the main reports. Schools with an external auditor can export everything to Excel.
Is payroll compliant with URA and NSSF?
Payroll calculates PAYE, NSSF and Local Service Tax and produces the schedules you file. Always check rates against current URA and NSSF guidance; the school can update rates and bands.
